4.1    Consider using bold type to emphasise key points in the report.  If follow-up action is required consider identifying action points either in margins or below paragraphs.

4.2    Prepare a title page that identifies the author and their designation, the name of the organisation, the date the report was prepared.

4.3    Prepare a list of abbreviations used and place this at the beginning of the report.  In the main text write these out in full the first time they are encountered.

4.4    Prepare a table of contents and lists of tables and figures if required.

4.5    Prepare appendices and references.  Note that appendices can be useful to reduce the volume of information presented in the main part of the report.

4.6    Check the format of the report: use a clear font, number paragraphs, leave spaces between paragraphs, ensure that page margins are generous and consistent.  Bottom and left margins should be wider that the top and right.

4.7    Pay attention to the copying and binding of the report.  The appearance of the report reflects on the author and influences how the report is received.  Consider preparing a covering letter to accompany the report.
